Washingborough Imps Netball Club (WINC) take the privacy of our members personal data very seriously. This privacy policy sets out how WINC uses and protects any personal information that you provide us with. We, WINC, are the data controllers and ensure data is stored according to GDPR regulations.

Amendments

If we amend our privacy policy, any changes will be published on our website. If necessary, this

will be brought to your attention. This policy was last updated on 30th January 2023.

Personal data we may hold includes:

  • Name
  • Address
  • Date of birth and/or age
  • Gender
  • Telephone number
  • E-mail address
  • Next of kin details & emergency contact details
  • Sub payment history
  • Bank details (for payment of umpiring/coaching fees/subs)
  • School year (for juniors)
  • Imagery in video and/or photographic form as agreed on club membership form
  • Medical history
  • Record of enquiries and other correspondence with you

How do we protect your data:

  • Your data is held securely on password protected computer, laptop, or phone
  • In locked filing cabinets
  • Key members such as captains, coaches and team managers may keep your contact details on their personal mobile phones and will make provision to keep these details secure using pins and/or passwords
  • We will notify you promptly in the event of a data breach

We will not transfer your personal data without your consent unless obliged too as below:

WINC may process, or share, personal data to:

 

  • Comply with any of its legal obligations
  • Protect an individual’s vital interests
  • Act in the public interest
  • Act in its own legitimate interests

How we collect your information:

We collect personal information about our members when you apply to become a member of the club, when you make a query and/or complaint. When you contact us by phone, email, or another way. If you are providing us with details of next of kin, family members and emergency contacts they have a right to know what personal information we hold about them. Please share this privacy policy with them. They also have the same rights as set out in your rights section below.

Retaining and deleting personal data

We do not retain your personal data for longer than necessary. Where you have consented for us to retain your data, we will only hold the data for the duration of your consent. For the majority, of membership data, this means we will retain it for as long as you have a valid club membership. Data is then deleted from our systems and paper copies are shredded.

 

Children

Children’s data is collected and processed in accordance with the information in this policy. Parents and guardians are expected to ensure that the children they are responsible for are aware of how their personal data will be processed by us. We require parental or guardian consent to process personal data of any child under the age of 14.
